ينشأ فى كل قرية سجل تدون فيه بيانات الحيازة و جميع البيانات الزراعية الخاصة بكل حائز و يكون كل من مجلس إدارة الجمعية التعاونية المختصة والمشرف الزراعى المختص مسئولا عن إثبات تلك البيانات بالسجل .
وتعد وزارة الزراعة بطاقة الحيازة الزراعية و يدون بها البيانات الخاصة بكل حائز من واقع السجل .
